Hunter College - PT Office Assistant

The Hunter College Foundation is seeking a part-time office assistant to provide general clerical and administrative support for Hunter's Roosevelt House Public Policy Institute. Located in the historic New York City home of Franklin and Eleanor Roosevelt, the Institute is dedicated to teaching, research and public programming in the fields of public policy and human rights.

The part-time office assistant will perform a variety of administrative tasks, including: updating contact information in MS Outlook and other database entry; filing; photocopying; typing and proofreading correspondence; and other tasks as assigned. He or she should have excellent computer skills, including knowledge of MS Office, as well as strong administrative and organizational skills.

Approximately 12-15 hours per week.

Specifically you will…
  • Greet visitors and ensure that they have a great experience from the time they walk in to the time they leave
  •   Coordinate all inbound and outbound packages & deliveries with USPS, Fedex, UPS & Couriers
  • Maintain accurate records of inbound and outbound packages and deliveries  
  • Maintain the Pantry, conference rooms and general appearance of the office
  •   Oversee pantry stock and office supply inventory including all orders and budgets
  •   Handle building maintenance & security requests
Skill Requirements
1+ year of administrative or reception experience required including scheduling and juggling multiple projects at once
Exposure to an office environment is a must

Job Title: P/T Office Administrative Assistant
Hours: 20-25  - 9am-2pm

Reception

  • Greet all incoming guests into the office offering water, coffee / hanging coats etc..
  • Place guests in reserved conference rooms 
  • Inform employees of guest arrival  

Desk/Office duties

  • In the morning: Check that all conference rooms are tidy and ready for the day
  • Manage all conference room requests
  • Make photocopies / scan documents as assigned
  • Receive deliveries from UPS/FedEx/USPS
  • Send out mail /create UPS/USPS labels
  • Sort and hand out daily mail sorting UMA/CP/NMTI invoices
  • Assist in the ordering of office supplies and groceries.
  • Make sure supply closet is always neat and organized

Kitchen Upkeep

  • Make coffee. (check on coffee all day)
  • Load/unload dishwasher  (check on dishes every hour)
  • Put out fruit, cereal, cereal bars, and potato chips every morning
  • Receive Fresh Direct order every Monday morning  (Unpack / put away)
  • Check that kitchen area is clean and tidy during the course of the day

Travel

  • Book Amtrak tickets and seating arrangements
  • Confirm credit card authorization forms for hotels
  • Schedule Limo Res car reservations

Concur Travel / Expense System

  • Create travel / expense profiles
  • Send out Welcome emails
  • Reset login credentials
  • Deactivate accounts
  • Assign expense delegates
  • Group Credit Card charges on expense reports
  • Experience with Concur travel system preferred, but not required

Requirements:
  • Bachelor’s degree in business administration preferred, but not required
  • MUST have a minimum of two years experience in office administration with experience in reception duties, filing etc..
  • Excellent communication skills with the ability to deal with executives in a professional manner
  • Proficiency in Word, Excel and Powerpoint Required

International Student Office Assistant
We are seeking a new team member to work in the International Student Office of a very busy international film and acting school. Must thrive in a fast-paced, very demanding and creative atmosphere providing services to our diverse students from around the world. Start immediately.

Responsibilities:
Provide administrative support to the International Student Office (ISO).
Directly assist students interacting with the ISO.
Create and maintain student records, both electronic and physical files
Be trained in SEVIS as a DSO (Designated School Official) with limited use for data entry. Develop a full understanding of all issues related to international student regulations and requirements as set forth by the Department of Homeland Security, Student Exchange and Visitor Program. Training provided.
Other projects and duties as assigned.
Full time weekdays plus occasional part time Saturdays.

Qualifications include:
Some college. Aptitude and work experience is more important than degree.
Skill in accurate record keeping with strict attention to detail
Excellent computer skills, very computer savvy, familiar with Apple OS, databases, Excel, MS Office.
Excellent organizational skills and time management skills, ability to prioritize workload, handle multiple interruptions and meet deadlines.
Demonstrated skill in exercising patience, diplomacy and flexibility in interacting with the public.
Demonstrated ability to communicate effectively in person, by phone and in writing with individuals from diverse linguistic and cultural backgrounds.
Creative arts background is desirable. Foreign language a plus.
Must be US citizen or permanent resident as required by Dept. of Homeland Security regulations for Designated School Officials.

Job Description:
The part-time office assistant is expected to work approximately 4-5 days per week for a total of 20 hrs per week and execute assigned daily tasks to support managers and executives in ensuring the showroom runs as smoothly as possible. Key responsibilities include:
• Maintain clothing rack (organize clothing waiting to be altered vs waiting for fitting, etc)
• Coordinate inbound and outbound shipments of merchandise
• Handle setup/take-down at company events (e.g. auction events and trade shows)
• Maintain supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
• Generally maintain a clean and presentable showroom (e.g. continually organize clothes on racks, accessory displays, and consultation table, etc)
• Forward information by receiving and distributing communications; collecting and mailing correspondence; copying information.
• Serve customers by providing back-up telephone support - answering questions; forwarding messages; keeping customers informed of order status and handling customer complaints.
• Be flexible to move around where needed (e.g. on special projects)
