Position Summary
The School Receptionist plays an important role by providing administrative support to the School of Dance Office and participating in all activities related to the school which include but are not limited to: administrative support, tuition transactions, customer service to students and parents and special events.

Ballet Hispanico explores, preserves, and celebrates Latino cultures through dance. Founded by Tina Ramirez in 1970, the organization is now under the Artistic Direction of Eduardo Vilaro. Ballet Hispanico’s programs include a professional Company with an annual New York season and cumulative national/international touring to an audience of nearly 3 million; a School of Dance unique in its emphasis on ballet, contemporary and Spanish dance as its core curriculum, serving nearly 700 students annually; and Education and Outreach, with arts education programs that serve over 1,200 New York City school children through long-term residencies and thousands more through national outreach programs. Key Responsibilities:
• Support all reception desk and school related responsibilities related to a busy school office
• Assist in responding to responding to emails, registration inquiries, processing school registration
• Process school registration, tuition and scholarship applications 
• Support School of Dance events and meetings
• Generate correspondence communication to all faculty, staff and parents
• Ensure organization and presentation of front desk area
• Other job-related duties as assigned

Required skills:
• 1-2 years of work experience (internships ok).
• Strong written and oral communication skills.
• Outstanding interpersonal skills and ability to work effectively with people at all levels.
• Excellent organizational skills and ability to prioritize work in order to meet important deadlines.
• Computer proficiency: MS Excel, Word, Outlook required. Knowledge of JackRabbit Dance Database a plus.
• Must be a self-starter with a proactive approach to work.
• Experience working with children and parents.
• Excellent follow-up skills.
• Spanish fluency in written and oral communication, preferred.

We are looking to fill 2 part-time positions offering a competitive hourly rate without benefits:

Position 1: 28 hours a week; 3-8 pm 4 week days; 10-6 Saturdays
Position 2: 20 hours a week; 5-8 pm 4 week days; 10-6 Saturdays

The Customer Service Coordinator (CSC) manages the reception area, routing inquiries and service calls to the appropriate personnel. The CSC will meet and greet customers, potential students and other school visitors in a friendly, professional and timely manner. The CSC will also provide educational evaluations to the student(s) assigned to the front desk. Students will be evaluated on their desk skills and professionalism. The CSC will input inquiry related information into the company’s student database. They will retrieve internet information requests and route to the admissions personnel. Participation at student events such as orientation, class start dates, open houses, and graduation is required.

Job Title: P/T Office Administrative Assistant
Hours: 20-25  - 9am-2pm

Reception

  • Greet all incoming guests into the office offering water, coffee / hanging coats etc..
  • Place guests in reserved conference rooms 
  • Inform employees of guest arrival  

Desk/Office duties

  • In the morning: Check that all conference rooms are tidy and ready for the day
  • Manage all conference room requests
  • Make photocopies / scan documents as assigned
  • Receive deliveries from UPS/FedEx/USPS
  • Send out mail /create UPS/USPS labels
  • Sort and hand out daily mail sorting UMA/CP/NMTI invoices
  • Assist in the ordering of office supplies and groceries.
  • Make sure supply closet is always neat and organized

Kitchen Upkeep

  • Make coffee. (check on coffee all day)
  • Load/unload dishwasher  (check on dishes every hour)
  • Put out fruit, cereal, cereal bars, and potato chips every morning
  • Receive Fresh Direct order every Monday morning  (Unpack / put away)
  • Check that kitchen area is clean and tidy during the course of the day

Travel

  • Book Amtrak tickets and seating arrangements
  • Confirm credit card authorization forms for hotels
  • Schedule Limo Res car reservations

Concur Travel / Expense System

  • Create travel / expense profiles
  • Send out Welcome emails
  • Reset login credentials
  • Deactivate accounts
  • Assign expense delegates
  • Group Credit Card charges on expense reports
  • Experience with Concur travel system preferred, but not required

Requirements:
  • Bachelor’s degree in business administration preferred, but not required
  • MUST have a minimum of two years experience in office administration with experience in reception duties, filing etc..
  • Excellent communication skills with the ability to deal with executives in a professional manner
  • Proficiency in Word, Excel and Powerpoint Required

About the Position
Sotheby’s Institute of Art is seeking an experienced part time receptionist to work evenings.   All candidates must be responsible, have good customer service skills and be able to provide coverage for our Reception Area/Commons four evenings a week from 4:30pm – 8:30pm.  This person will also be responsible for providing light audio-visual assistance to Public Programs faculty and assist with all evening special events.  The right candidate will assume responsibility for all building related issues and emergencies while on duty.  This is a great opportunity for retirees, students and persons with a background in higher education or some knowledge of the art world.
