PT Administrative Assistant

Purpose of Position: Provide various administrative support to Finance staff. Work is performed under general supervision.

Essential Duties and Responsibilities include the following. OSI may add, change, or remove essential and other duties at any time.
  • Assist and act as backup for filing for the Accounts Payable Staff;
  • Update and maintain Accounts Payable files and the Finance file room whenever needed including making sure that the file room is organized at all times;
  • Update, organize and maintain the Finance Computer Drive;
  • Assemble hard copy or online materials for any internal or external audits (e.g. invoices, payments, canceled checks, etc.);
  • Archive and retrieve Finance Department files as needed including reorganizing the current Finance Archive list;
  • Enter all Finance Department related invoices received into the accounting system for approval and payment;
  • Ordering and receiving office supplies for the Finance Department;
  • Assist Controller with administrative tasks, such as, organization, filing scheduling and coordinating meetings;
  • Assisting with obtaining internal and external signatures when needed for annual filings;
  • Mail annual filings at post office, up to 10 times per year;
  • Perform other duties as assigned.
Education/Experience: High School degree or equivalent with three to five years of relevant experience and/or training; or equivalent combination of education and experience.
Skills Required:
  • Excellent written, verbal and organizational skills and attention to detail;
  • Extensive computer skills and high comfort level with computers (experience with Microsoft Office required);
  • Poised and work well under pressure, attention to detail and prioritize work, often simultaneously on a wide range of tasks and projects;
  • Excellent listening and communication skills with sensitivity to cultural communication differences;
  • Show discretion and ability to handle confidential issues;
  • High level of self-motivation and at ease working independently when necessary;
  • Pleasant, diplomatic manner and disposition in interacting with senior management, co-workers and the general public.
Work Environment and Physical Demands:
Essential functions are typically performed in an office setting with a low level of noise. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Program Specific Requirements:
  • Availability to work up to 19 hours per week.

Compensation: Hourly rate commensurate with experience.
