Seeking a bright and energetic Part-Time Receptionist/Assistant.

Hours: Monday to Thursday, 8:30 a.m. – 12:30 p.m. Occasional additional hours. 

Qualifications:
Excellent customer service skills, experience with general office work, proficiency in Microsoft Office, detail-oriented, well-organized and able to multi-task. Experience with billing software a plus.

Duties include, but are not limited to:
-Answering phones and coordinating incoming calls.

-Greeting clients and processing payment for services.

-Assisting Accounts Manager with Billing, Accounts Payable/Receivable, Mailings, etc.
-Basic Data Entry.

-Making copies, scanning/faxing documents, filing and creating client charts.

-Keeping office, waiting area, chart room and kitchen neat and tidy.

Music and Dance Studio Assistant

The working environment is a multi-cultural performing arts center in Chelsea - Lotus Music & Dance (www.lotusmusicanddance.org). This person will provide administrative support to the Food and Merchandise departments. This part-time position is responsible for reviewing written fundraising materials and grant proposals for The Field’s Sponsored Artist Program. The Associate, although self-directed, works closely with the Artist Services Manager, coordinating grant submission deadlines with artists and developing clear feedback communication strategies to enhance Sponsored Artists’ ability to produce clearly articulated, professional proposal and fund materials. The Associate may also be tasked with preparing fundraising materials for artists and advising artists on fundraising strategies and grant calendars.

ESSENTIAL FUNCTIONS
  • Responsible for reviewing grants proposals to foundation and corporate sources, and preparing feedback for artists.
  • Reviewing grant reports and ensuring that all sponsored artists comply with grant reporting as required by foundation/corporate donors.
  • Reviewing written fundraising materials and providing effective feedback to artists.
  • Assisting with other materials review as requested.
  • Performing artist consultations as needed.
KNOWLEDGE AND SKILLS

The ideal candidate has a minimum of 3 to 5 years’ experience with grant writing and previous experience with non-profit fundraising in the performing arts sector. The ability to devote 6 to 10 hours a week to reviewing materials, a weekly in-office meeting and occasional phone conversations with the Artist Services Manager is also required.
