Seeking a Bright and Energetic Part-Time Receptionist/Assistant




Seeking a bright and energetic Part-Time Receptionist/Assistant.

Hours: Monday to Thursday, 8:30 a.m. – 12:30 p.m. Occasional additional hours. 

Qualifications:
Excellent customer service skills, experience with general office work, proficiency in Microsoft Office, detail-oriented, well-organized and able to multi-task. Experience with billing software a plus.

Duties include, but are not limited to:
-Answering phones and coordinating incoming calls.

-Greeting clients and processing payment for services.

-Assisting Accounts Manager with Billing, Accounts Payable/Receivable, Mailings, etc.
-Basic Data Entry.

-Making copies, scanning/faxing documents, filing and creating client charts.

-Keeping office, waiting area, chart room and kitchen neat and tidy.

Direct marketing fundraising consultant seeks part-time (apx. 20 hrs./wk) detail-oriented, self-starter to handle all aspects of direct mail implementation, including administrative assistance.
Job Description:
  • Works with clients and vendors, including lettershops, printers, list brokers & service bureaus.
  • Tracks & maintains campaign records from artwork through mailing to maintain a consistent workflow on all projects.
  • Assists with copy assignments/background research.
  • Proofreads printed materials, maintains client calendars and manages data for campaigns.
  • Prepares and maintains response analysis.
Qualifications:
  • One-two years' related experience; good computer skills, esp. Excel & Word. Mac preferred.
  • Good reading, writing, proofreading and verbal/written communications skills a must.
  • Desire to learn all aspects of direct response for nonprofits.
  • Experience with nonprofits helpful but not required.

ABOUT THE JOB
We’re searching for a candidate has an inherent service focus, an eye for detail and 1-2 years of relevant work experience to join our administrative department, reporting to and supporting the Office Manager.

Must be consistent in opening the office on time, welcoming all guests and employees, making them feel comfortable by asking to take their coats, answering questions, offering drinks, etc.

Answer phones with a standard greeting, directing calls to appropriate people within client teams

Receive/sort mail, publications and newspapers in a timely manner

Manages inventory of office supplies and branded products, working with Office Manager to ensure that appropriate levels are maintained

Set-up and break down client meetings, including ordering catering where appropriate, setting up AV equipment and clean up

Have a keen eye for detail, and appreciation for structure and order, while being flexible to consistently change business circumstances

Process travel, expense and time entry for senior executive staff

Strong organizational skills and an eye for detail

MS Office proficiency is a must

DESCRIPTION:
•Reports directly to the Director of Operations for the United States
