REQUIREMENTS:
Education: Some College preferred.
Experience: 1-2 years as a Receptionist or related experience in customer service
Skills: Outgoing and friendly personality, knowledge of phone systems, organization skills and the ability to multi-task. Excellent verbal communication skills.

RESPONSIBILITIES:
  • Answer all telephone calls and direct same to appropriate staff.
  • Greet and screen all visitors.
  • Sort all incoming mail.
  • Operate postage machine, stamp, and process all outgoing mail.
  • Log in all in-coming mail/packages and direct to appropriate staff.
  • Sort and distribute all faxes.
  • Communicate with messenger companies for pick-ups.
  • Refill all copiers and fax machines with paper when necessary.
  • Schedule and confirm conference room usage for staff.
  • Update staff extension list.
  • Update and print staff sign in sheets.
  • Print and post daily conference room calendars.
  • Fingerprint volunteers and collect necessary paperwork and supporting documentation.
  • Assist other departments with events, mailings, etc. (supervisor approval required).
  • This position requires flexibility for daytime, evening, and weekend hours.

Upscale nail salon (located in Williamsburg, Brooklyn) looking for an outgoing individual with strong interpersonal and organizational skills. Currently looking for a full time hire (5-6 days a week), and considering part-time positions for the right candidate (with a flexible schedule). Weekend availability is a must.

Relevant experience required as the position is a fast-paced, service-oriented environment with HEAVY client interaction on a day-to-day basis; in other words you must enjoy dealing with people. Our ideal candidate is a strong multi-tasker with excellent customer-facing skills (warm, friendly, and always presentable), and a creative problem solver. Must be comfortable maintaining appointment books and holding various bookkeeping duties, as well as assisting in the oversight of 8-10 staff employees. Under the direction of the Manager Office Services the Receptionist provides essential general office services that:
  • Ensure effective communications within and outside the affiliate
  • Promote a professional and efficient image of the affiliate, and
  • Assist in monitoring important operational information
MAJOR RESPONSIBILITIES:

*Greets visitors to the office and contacts the appropriate AHA staff person, or directs the visitor to the assigned conference room if they are here for a meeting. 

*Answers inbound calls that come through the main switchboard, responds to inquires for information by either providing the information or directing the call to the appropriate resource.  This position will also transfer incoming calls for staff to the correct extension or voice mail as required.  

*Responsible for ensuring all staff and visitors sign in and out on the appropriate log sheet when they enter or leave the building.  During an emergency evacuation this position is responsible for bringing the log in/out sheet to ERT (Emergency Response Team) Outside Coordinator for attendance purposes to ensure all staff are safely evacuated. 

Provide appropriate phone and customer service training to individuals covering the switchboard as needed. 
Maintains Meeting Room and Video Conferencing requests. 
Updates staff sign in/out logs, phone extension lists with staffing changes. 
Offers front desk support for the Arthritis Foundation as needed. 
Performs other tasks and special projects as needed to help AHA staff accomplish goals and meet time lines for organizational events.
